WildComply ("we," "us," or "our") operates the WildComply mobile application and website (collectively, the "Service"). This Privacy Policy describes how we collect, use, store, and protect your personal information when you use our Service.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, phone number, and mailing address. This information is used to manage your account and is included on annual reports you generate through the Service.
Property Information
You provide details about your properties including tract names, county locations, acreage, and ecoregion classifications. This information is stored in your account and used to generate compliance documentation.
Activity Records
When you log wildlife management activities, we store the data you provide including practice types, activity descriptions, dates, and property assignments. This data is essential to the core functionality of the Service.
Photos and Location Data
Photos captured through the Service include GPS coordinates (latitude and longitude) and timestamps embedded in the image metadata (EXIF data). This geolocation data is used to verify that activities occurred at the documented property location. You may also manually provide or adjust location data for activity records.
Device and Usage Information
We automatically collect certain technical information including device type, operating system version, app version, and general usage patterns (such as feature access frequency). We use this data to improve the Service and troubleshoot issues.
Payment Information
Payment processing is handled by Stripe, Inc. We do not store your full credit card number, CVV, or banking details on our servers. Stripe's privacy policy governs the handling of your payment information.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the Service
- Generate wildlife management compliance reports (PWD-888 annual reports)
- Calculate compliance scores and practice tracking metrics
- Send deadline reminders, filing alerts, and account notifications
- Process subscription payments
- Provide customer support
- Analyze usage patterns to improve features and user experience
- Comply with legal obligations
3. Data Sharing
We do not sell, rent, or trade your personal information to third parties. We share your information only in these limited circumstances:
- Payment processing: With Stripe, Inc. for subscription billing
- Cloud infrastructure: With our hosting providers for data storage and processing (data remains encrypted)
- Consultant access: If you are a client of a wildlife management consultant using WildComply's Professional plan, your consultant may view activity records and compliance data for your properties as authorized by the consultant-client relationship
- Legal requirements: When required by law, regulation, legal process, or governmental request
- Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users
4. Data Storage and Security
Your data is stored on secure servers within the United States. We implement industry-standard security measures including:
- Encryption of data at rest and in transit (TLS 1.2+)
- SOC 2 Type II security practices
- Regular security audits and vulnerability assessments
- Access controls limiting employee access to user data
- Automated backup and disaster recovery procedures
5. Data Retention
We retain your data for as long as your account is active. If you cancel your subscription, we retain your data in read-only mode for 12 months to allow for reactivation. After 12 months of inactivity following cancellation, data is permanently deleted unless you request earlier deletion.
If you request account deletion, your data enters a 30-day grace period and is then permanently removed from our servers.
6. Your Rights
You have the right to:
- Access: View all personal data we store about you
- Export: Download your complete data (activity records, photos, reports, property data) at any time through Settings > Data > Export
- Correct: Update inaccurate personal information through your account settings
- Delete: Request permanent deletion of your account and all associated data
- Opt out: Unsubscribe from marketing communications (transactional emails like deadline reminders cannot be disabled while your subscription is active)
7. Cookies and Tracking
Our website uses essential cookies required for site functionality (such as session management). We do not use third-party advertising cookies or cross-site tracking. The mobile app does not use cookies. We use privacy-respecting analytics to understand aggregate usage patterns without tracking individual users across websites.
8. Children's Privacy
The Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will promptly delete it.
9. Texas-Specific Provisions
WildComply is operated from Houston, Texas. Texas residents have rights under the Texas Data Privacy and Security Act (effective July 1, 2024), including the right to access, correct, delete, and obtain a copy of personal data, and the right to opt out of data processing for targeted advertising (which we do not engage in). 10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email and by posting a notice on the Service at least 30 days before the changes take effect. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
